1. Who we are and what this covers
YourEDU, Inc. ("YourEDU," "we," "us") provides a platform that helps homeschool families, co-ops, microschools, and other education communities manage enrollment, courses, records, payments, and communication. This Privacy Policy describes how we collect, use, and share personal information when you use our websites and services (the "Services"). The Services are operated from the United States and intended for users in the United States.
In this policy, a "Community" means a homeschool group, co-op, microschool, or other organization that uses YourEDU to run its programs. Communities are independent organizations — see Section 6 for how responsibility is divided between YourEDU and your Community. Many families use YourEDU on their own, without joining a Community; if that's your family, the parts of this policy about Communities simply don't apply to you.
If your family uses student accounts, the Student & Children's Privacy Notice supplements this policy and controls for information in student accounts. Student accounts can only be created by a parent or guardian's invitation, regardless of the student's age.
2. Information we collect
Information you provide
- Account and profile information — your name, email address, phone number, mailing address, date of birth (where a Community's registration requires it), and profile photo.
- Household information — information you add about other members of your household, such as a second parent or guardian's name, contact details, date of birth, and photo.
- Student information — information you add about your students: name, date of birth, grade level, and photo or headshot (used for features you choose, such as student ID cards, and for Community programs that require one); and — where your Community's programs require it — medical conditions, allergies, emergency equipment needs (such as an EpiPen), accessibility notes, immunization information, and emergency contacts.
- Education records — records you or your Community create in the Services, such as course enrollments, grades, transcripts, attendance, assignments and submissions, and compliance documents (for example, state filing forms you prepare through the Services).
- Forms, agreements, and applications — responses to a Community's registration and intake forms, applications to join a Community, and documents you sign or acknowledge through the Services (such as liability waivers, enrollment agreements, photo releases, or statements a Community requires).
- Payment information — payments are processed by Stripe, our payment processor. We do not store full card numbers. We keep transaction records, including amount, date, the card brand and last four digits, and what the payment was for.
- Information about others you designate — if you use a feature that involves a third party — for example, requesting a letter of recommendation — you provide that person's name and email address so we can contact them on your behalf.
- Communications — messages you send us (for example, support requests) and your email subscription preferences.
Information provided by your Community
If you join YourEDU through a Community, your Community's administrators may provide information to set up or pre-populate your account before you first sign in — for example, your family's names, contact details, students, enrollments, and balances from the Community's existing records. When you claim such an account, we tell you the account was prepared by your Community. Your Community is responsible for having the right to share this information with us (see Section 6).
Information collected automatically
- Usage and device data — pages visited, features used, browser type, device type, IP address, and general location derived from IP address.
- Cookies and similar technologies — see Section 8. We do not use third-party analytics or advertising trackers in student sessions.
Information from public forms
Some pages don't require an account — for example, RSVPing to a Community's public event, applying to join a Community, or subscribing to a Community's email list. We collect the information you submit on those forms (typically name, email, and your responses).
3. How we use information
- Provide the Services — operate accounts, enrollment, courses, records, calendars, and Community tools.
- Process payments — including payment plans and scheduled charges you authorize, receipts, and payment reminders.
- Communicate with you — transactional emails (confirmations, receipts, invitations, reminders), messages and announcements from your Community sent through the platform, product and onboarding emails, and support responses. You can unsubscribe from non-essential email at any time.
- Safety and integrity — secure the Services, prevent fraud and abuse, and enforce our Terms of Service.
- Improve the Services — understand how features are used (excluding student sessions) and fix problems.
- Legal compliance — comply with applicable law and respond to lawful requests.
What we never do: we do not sell personal information. We do not share personal information with advertisers, use it for targeted advertising, or use student information to build profiles for any non-educational purpose.
4. AI features
Some tools in the Services use artificial intelligence to help you draft content. When you use these tools, the content you submit to them is sent to our AI provider, Anthropic, to generate a response. Under Anthropic's commercial API terms, which govern our use of the service, this content is not used to train AI models.
AI features are tools for parents, teachers, and administrators. We do not send the contents of student accounts — such as a student's submitted work — to AI providers.
5. How we share information
With your Community
When you join a Community or enroll a student in its programs, the Community's administrators — and, for course-related information, its teachers — can see the information relevant to their role: your family's registration information, enrollments, form responses, payment status for Community programs, and student information the Community's programs require (including medical and emergency information you provided for that purpose). At your Community's direction, we may also sync Community records to spreadsheets controlled by that Community's administrators.
If your family does not belong to a Community, none of this sharing occurs — no Community can see your family's information.
With service providers
We share information with vendors that help us run the Services. They may use it only to provide their service to us:
| Provider | Purpose |
|---|---|
| Supabase | Database, authentication, and file storage |
| Stripe | Payment processing |
| Resend | Email delivery |
| Vercel | Website hosting |
| Anthropic | AI features (Section 4) |
| Google Analytics, PostHog | Product analytics — parent, teacher, and administrator sessions only; never student sessions |
| Google (Sheets) | Record syncing at a Community's direction (Section 5, "With your Community") |
Other circumstances
- Legal reasons — if required by law, or to protect the rights, safety, or property of users, YourEDU, or others.
- Business transfers — if YourEDU is involved in a merger, acquisition, or sale of assets, personal information may be transferred; any successor remains bound by the commitments in this policy for previously collected information.
- With your direction — when you ask us to share information (for example, sending a recommendation request to a recommender you designate).
6. Your Community's role
Communities are independent organizations. Your Community decides what information its programs require (for example, whether to collect medical forms or require a photo release), who in the Community can see it, and how it is used within the Community's own operations. YourEDU processes that information to provide the Services to you and your Community.
When a Community provides information about you or your students to set up accounts (Section 2), the Community is responsible for having obtained any permissions required to share it. Questions about a Community's own privacy practices should go to that Community; we will help route requests where we can.
7. Public content
- Community public pages — Communities may publish public profile pages, including descriptions, photos they choose to upload, and public events. Communities are responsible for having permission to publish the photos they upload.
- Directory — Communities may be listed in our public directory of education communities.
- What is never public by default — your account, your family's information, and student information are not published. We do not publish a student's name or photo on public pages; any appearance of student photos in a Community's public content is governed by the photo release process between you and your Community.
8. Cookies and analytics
We use cookies and similar technologies to keep you signed in and remember preferences, and — for parent, teacher, and administrator sessions — analytics tools (Google Analytics, PostHog) to understand how the Services are used and improve them. We do not use advertising cookies, and we do not permit third-party analytics or tracking in student sessions. We do not respond to browser "Do Not Track" signals; because we do not sell or share personal information, opt-out preference signals such as Global Privacy Control do not change how we treat your data.
9. Data retention
We keep personal information only as long as reasonably necessary for the purposes described in this policy, and we do not retain it indefinitely. We retain personal information according to the following schedule:
| Category | Retention |
|---|---|
| Account and profile information | While your account is active; deleted within 30 days of account deletion |
| Student information (including medical and emergency information) | See the Student & Children's Privacy Notice; deleted with the account or on parent request |
| Education records you created (transcripts, course records) | While your account is active; exportable before deletion |
| Transaction records | 7 years, as needed for financial, tax, and audit obligations |
| Signed agreements and waivers | 7 years after expiration — or, for agreements concerning a student, 3 years after that student turns 18, whichever is later |
| Support communications | 2 years |
| Backups | Purged on a rolling basis within 90 days |
10. Security
We use reasonable administrative and technical safeguards to protect personal information, including encryption in transit (TLS), encryption at rest by our database provider, role-based access controls, and database-level access rules that restrict which records an account can reach. Our infrastructure providers, including our database and hosting providers, maintain independent security attestations such as SOC 2. No method of transmission or storage is completely secure; if we learn of a breach affecting your personal information, we will notify you as required by law.
11. Your rights and choices
- Access and update — you can view and edit most of your family's information directly in your account.
- Delete — you can delete your account from within the Services, or ask us to. Deleting your account deletes your family's information, subject to the retention table above; if your student has their own login, we will delete it as part of processing your deletion.
- Email preferences — unsubscribe links are included in non-essential email.
- Export — contact us (Section 14) to request a copy of your family's information, and we will prepare and send it to you.
Your U.S. state privacy rights
Many states — including California, Colorado, Connecticut, Texas, Virginia, Oregon, and Maryland — have comprehensive privacy laws giving their residents rights to know, correct, and delete personal information, and to opt out of its sale or sharing. If you live in one of these states, you may exercise these rights by contacting us at the address in Section 14. We do not sell or share personal information under applicable state privacy laws, and we do not use or disclose sensitive personal information for purposes that would require a right to limit. We will not discriminate against you for exercising your rights, and if we deny a request, you may appeal by replying to our response; we will answer your appeal within the time your state's law requires.
12. Children and student accounts
Student accounts — for children of any age — can only be created by a parent or guardian's invitation from their own account. We do not allow children to sign up on their own, and we do not knowingly collect personal information from a child except through an account their parent created and consented to. The Student & Children's Privacy Notice describes what we collect in student accounts, how we use it, and the controls parents have, and serves as our direct notice to parents under the Children's Online Privacy Protection Act (COPPA). We extend the same protections to all student accounts regardless of the student's age.
We also handle student education records consistent with the protections of the Family Educational Rights and Privacy Act (FERPA). If a Community or school subject to FERPA uses the Services, we operate as a "school official" with a legitimate educational interest: that organization retains direct control over its education records, we use them only to provide the Services, and we do not re-disclose them. Consistent with California's Student Online Personal Information Protection Act (SOPIPA) and similar student privacy laws in other states, we never use student information for targeted advertising, never sell it, and never profile students for non-educational purposes.
13. Changes to this policy
If we make material changes to this policy, we will notify you (for example, by email or an in-product notice) before the changes take effect. If a change materially affects how we handle children's personal information, we will obtain fresh parental consent before applying it to student accounts.
